The Heller Fundraising Group is looking for an Executive Assistant to join our growing team.
The Heller Fundraising Group builds abundance for nonprofits through customized consulting and training for successful capital campaigns, insightful feasibility studies, and prosperous major gift programs. Our growing team of 7 full time employees and 20 collaborating consultants advise our nonprofit partners on powerful fundraising strategies. Celebrating our 20th Anniversary this year, we have served approximately 120 + organizations, from Florida to Maine and beyond, guiding them to raise hundreds of millions of dollars.

About the Position
Reporting to the Consulting Services Director, Katherine Jaeger-Thomas, the Executive Assistant will provide key support to team members through a variety of tasks that include documentation, research, scheduling, and organization. Particular focus will be placed on supporting firm leadership in external relationship development with existing and prospective clients, as well as industry leaders and colleagues.
This role is ideal for someone who thrives in a fast-paced, mission-driven environment and enjoys managing multiple workflows across operations, sales, and marketing.
Key Responsibilities
1. Executive & Administrative Support
The Executive Assistant will serve as the primary support to the company’s executives, helping manage schedules, communications, and day-to-day priorities. This role includes coordinating internal and external meetings, organizing logistics for in-person gatherings, and ensuring that documents and workflows stay organized and accessible. The Executive Assistant will also conduct research and compile data to help aid in decision making, as well as coordinate between team members and departments to ensure alignment with strategic objectives. Additionally, they will provide behind-the-scenes support for hiring processes and special projects that keep internal operations running smoothly.
2. Proposal & Sales Support
The Executive Assistant will play an important role in supporting client acquisition efforts—from compiling, coordinating, editing, and finalizing proposals to tracking sales activity and trends. As the first point of contact for inbound inquiries (website and telephone), the Executive Assistant will ensure that potential clients receive a prompt and professional response while keeping the team informed and coordinated. The Executive Assistant will support the team by compiling basic performance metrics and tracking key milestones.
3. Marketing Support
In collaboration with the Marketing Manager, the Executive Assistant will help coordinate email campaigns, manage contact lists, and assist with scheduling social media content. The Executive Assistant will contribute to keeping marketing tools and systems organized and running efficiently. The Executive Assistant will support a variety of projects that require curiosity, creativity, and resourcefulness—such as researching tools or trends, and helping with simple visual formatting.

Candidate Requirements
- Exceptional organizational skills with the ability to manage multiple tasks and priorities simultaneously.
- Excellent written, verbal, and interpersonal communication skills.
- Strong attention to detail and accuracy in work.
- Ability to work independently and as part of a team in a remote environment.
- Proficiency with Microsoft Office, Google Suite, and familiarity with relational databases and business management software.
- Proficiency with Google Workspace, Airtable, Canva, Zoom, and Mailchimp (or similar tools).
- An interest and proficiency in design execution, using tools such as Canva, Powerpoint, etc.
- A self-starter who is proactive and capable of adapting to new challenges.
- Ability to manage confidential and sensitive information.
- Bachelor’s degree or equivalent work experience required.
- Comfort making phone calls.
